Our wedding planning process at Beau Cheval in Wartrace is designed to be simple, guided, and stress-free—especially for couples planning from out of state. We handle the details so you can focus on enjoying the journey.
Here’s how it works:
1. Tour & Book
Begin with a private tour of Beau Cheval to explore the property and see what fits your vision. Once you choose your date, your planning officially begins.
2. Meet Your Core Vendor Team
We introduce you to our trusted, in-house vendors—starting with your DJ and photographer, who only serve one wedding per day. You’ll also schedule tastings with our caterers and bakers.
3. Design Session in Our Décor Showroom (Adorn)
You’ll attend a two-hour design session to bring your vision to life. Choose from arbor styles, centerpieces, statement pieces, welcome signage, cake stands, toppers, color palettes, and ceremony décor.
4. Secure Key Details
Complete your day-of event insurance and submit your Bar Preference Form so our licensed team can finalize bar service and staffing.
5. Lock in Vendors & Final Prep
As invitations go out and final vendor selections are confirmed, we stay in close communication to ensure everything stays on track.
6. The 30-Day Meeting
About one month before your wedding, we meet to review every detail—timeline, layouts, vendor confirmations, rehearsal timing, venue policies, and both fair-weather and inclement-weather plans.
7. Celebrate
On your wedding day, everything is ready when you arrive. You can relax knowing your celebration is fully coordinated and thoughtfully executed from start to finish.

Yes. Couples have exclusive use of the entire Beau Cheval property on their wedding day.
When you book with us, the venue, grounds, farmhouse, ceremony spaces, reception areas, and on-site amenities are reserved solely for your celebration.
This exclusivity ensures privacy, flexibility, and a relaxed experience—especially valuable for destination couples who want a seamless, uninterrupted wedding day without sharing space or staff with other events.
Not necessarily. Many couples do not need a separate wedding planner at Beau Cheval in Wartrace because our all-inclusive team handles most planning and coordination in-house.
We provide:
A guided planning process from booking to wedding day
Introductions to our trusted DJ, photographer, caterer, and baker
A two-hour décor design session in our fully stocked showroom
Creation of your custom wedding-day timeline
On-site venue management on the wedding day
Coordination of vendor arrivals, setup, cleanup, and rehearsal
This approach is especially helpful for couples planning from out of state or abroad.
If you prefer full-service planning beyond the venue—such as guest travel logistics or off-site events—you’re welcome to hire a planner. However, for most couples, our team provides everything needed for a smooth, well-organized wedding day.
Vendor introductions begin as soon as 24 hours after booking.
We start by connecting you with our preferred photographer and DJ, since they only serve one couple per date and tend to book quickly. Once those are secured, we schedule tastings and consultations with your caterer, florist, and cake designer to complete your vendor team.
We guide the process step by step, so vendors are booked in the right order without guesswork.
Yes. We provide a 45-minute rehearsal the day before your wedding if no other event is booked. If the venue is reserved for another couple that day, your rehearsal will be scheduled earlier in the week of your wedding instead.
Some couples also choose to hold a brief run-through the morning of their event, which works beautifully for smaller wedding parties or simple ceremonies. Your coordinator will confirm the best option as your date approaches.
In short: Yes — when available, or earlier in the week if the venue is booked.
No. Beau Cheval hosts only one wedding per day.
Your date is exclusively yours, and the entire property, staff, and timeline are dedicated solely to you and your guests from start to finish.
This one-wedding-per-day approach allows us to provide a level of attention, flexibility, and care that multi-event venues simply can’t match.
If it rains, we already have a plan. Beau Cheval offers a designated indoor ceremony option, and your wedding will still move forward beautifully.
About 30 days before your wedding, we meet to outline a detailed rain plan. If weather requires it, the ceremony is smoothly transitioned into your reception space. The final weather decision is made by 8:00 a.m. on the day of your wedding.
Our team has hosted countless weddings in all weather conditions and manages transitions seamlessly—so your guests remain comfortable, your timeline stays on track, and your day still feels intentional and elegant.
Beau Cheval includes a built-in indoor backup option for all weddings, ensuring your ceremony and reception can proceed comfortably in the event of rain or severe weather.
Weather planning is discussed in advance during your planning meetings, and layouts are designed so transitions can happen quickly if needed. Final decisions are made close to the event to allow for the most accurate forecast.
Our team manages all weather-related adjustments on the day of your wedding, allowing you and your guests to remain focused on the celebration—not the forecast.
